ORGANIZATIONAL SUMMARY:

The Morsani College of Medicine (MCOM) has active research programs in basic, translational, and clinical sciences. The MCOM Office of Research supports faculty and students with their research endeavors by providing research administrative support. This office reports to the Vice Dean of Research and is part of the MCOM Dean's Office The USF Health Heart Institute operates under the auspices of the College of Medicine and its members collaborate widely with faculty from other USF colleges including Engineering, Arts and Sciences, Nursing, Pharmacy, Public Health, and the Moffitt Comprehensive Cancer Center. The USF Health Heart Institute is a new state-of-the-art facility housing multiple floors of clinical and laboratory space, state-of-the-art small imaging facilities, and other outstanding core facilities including a vivarium fully outfitted for small animal husbandry and zebrafish.

POSITION SUMMARY:

This position will be responsible for planning, scheduling, and coordinating conferences and special events as they relate to the research mission of the MCOM Office of Research and USF Health Heart Institute. This position serves as the primary liaison with internal units and external constituents, providing organizational leadership in developing, implementing and overseeing conferences, workshops, faculty recruitment events, and public functions.

RESPONSIBILITIES:

Serves as the lead for USF Health Research Day and supports all functions as they relate to this annual event. Tasks include managing the budget, coordinating the marketing and social media, coordinating the vendors, coordinating the logistics with the function space and catering, managing the keynote speaker itinerary and day of logistics. Work with USF Development office to secure donors and vendors. Create judging criteria, assign judging categories, and designate participant awards. Work with keynote speaker and other VIP attendees to coordinate itineraries and travel plans.

Provide on-site support for all Heart Institute seminar series and special events. On-site support includes, but is not limited to, ensuring that all food/beverages, plates, cups, and cutlery are obtained and delivered to seminar rooms, assisting with room and AV set-up, and troubleshooting during the seminars/events. Coordinate with the building

facilities team and IT for pre-seminar set-up and post-seminar tear-down/clean-up. Monthly seminar series include Training Research in Progress (TRIP), Hypertension and Kidney Research Center (HKRC), and Heart Institute Seminar Series. Special events/seminars include faculty candidate seminars and the yearly Heart Institute Colloquium.

Additional events may be added as Leadership sees fit.

Order food and beverages in advance for seminars and special events. Submit alcohol approval request forms in advance of after-hours events. Reserve rooms for seminars.

Extend calendar/TEAMS invitations to Heart Institute listserv group and other interested departments/parties. Create flyers and distribute them electronically and on-site. Request building facilities and IT assistance as needed.

Escort external seminar speakers and faculty candidates to meetings as needed.

Coordinate COMCOR annual research networking event, monthly research seminars and educational workshops and other research meetings as needed.

Performs other duties as assigned.

POSITION QUALIFICATIONS:

MINIMUM:

This position requires a Bachelor's degree in communication, marketing, public relations, hospitality management, business

management, digital media, or related field, with two years of experience in related positions; or a Master's degree in the fields

listed above; or an equivalent combination of related education and experience.

FLSB1310 equivalency:

Four years of directly related experience can be substituted for a Bachelor's degree.

Six years of directly related experience can be substituted for a Master's degree.

PREFERRED:

Experience working with in a university setting with research programs.

SPECIAL WORKING CONDITIONS:

This work may require travel to conference and event sites, and working evenings and weekends during conferences and events.
