Coordinator, Headliner Entertainment Operations

NOTE: This is a full-time in-person role based in the company’s headquarters in Miami, FL. Applicants must be available to work in Miami– Thursday, with work from home on Friday.

Position Summary

The Coordinator, Headliner Entertainment Operations is responsible for various operational and administrative duties as well as contract logistics within the Headliner Entertainment program. This position is responsible for contract confirmations, props shipping logistics, act approvals, scheduling projections and for ensuring all Entertainer’s information is updated in the Entertainment Management System. This position is also responsible for coordinating talent and shipboard communication as needed.

Responsibilities

Essential Duties and Responsibilities:

  • Responsible for system contract confirmations, changes, cancellations and cabin assignments.
  • Responsible for updating Entertainment Management System with Entertainer personal and show information.
  • Responsible for updating line-ups and sailings in the Entertainment Management System.
  • Responsible for act availability functionality and ensuring most updated information is reflected in the system. Sends availability link as needed.
  • Responsible for managing Entertainer merchandise submissions and approvals including shipboard logistics. Keeps track of approved merchandise database.
  • Coordinates shipping and logistics of Entertainer props, as required, for applicable contracts.
  • Coordinates aerial act logistics and approvals.
  • Processes requests for onboard video show recordings, coordinates loading of content and ensures all needed information is correctly stored.
  • Schedules all talent calls as needed.
  • Schedules all shipboard calls as needed.
  • Works as liaison between all acts, agents and shipboard teams regarding all
  • Headliner Entertainment operational administrative duties.
  • Processes program fleet visitor requests as required.
  • Processes program ECC requests as required.
  • Updates Enterprise 1 projections as required per contract. Oversees changes in scheduling and adjusts as needed.
  • Supports Lead, Entertainment Business Operations and Administration on other related Entertainment Operations duties.

Qualifications

  • Two or three years of administrative experience within hospitality, travel, operations and/or entertainment required.
  • Experience in the entertainment industry and/or cruise industry a preferred.
  • Excellent organization and time management skills.
  • Strong work ethic.
  • Attention to detail.
  • Excellent written, verbal, listening and communication and skills.
  • Strong research and analytical abilities.
  • Good problem-solving skills and ability to manage last minute emergencies in a calm and organized manned.
  • Ability to work in a fast-paced environment.
  • Excellent understanding of policies and procedures.
  • Ability to work independently and as part of a team.
  • Ability to attend (when applicable) to operational emergencies after-hours and weekends.
  • Knowledge in Microsoft Office Suite, Word, Excel, SharePoint and Power Point.
  • Ability to learn new software and programs.
  • Smartsheet knowledge a plus.

Education

  • High School Degree required.
  • Associate’s degree and/or Undergrad degree from an accredited college or applicable years of experience is require
