The Director of Operations (DoO) is primarily responsible for oversight of day-to-day operations related to Administrative Support, Clinic Reception, Information Technology (IT), Facilities, Public Relations and Marketing.
The DoO leverages a team of administrative professionals to ensure adequate support for the delivery of program services and agency leadership. This position works with external consultants and is responsible for facility maintenance and public relations. Performs duties under direction of Executive Director.
Essential Job Duties and Responsibilities: (Additional duties may be assigned)
Develop and oversee the administrative support function to ensure adequate aid to programs, a welcoming and efficient service reception and a high level of contribution toward operational support tasks.
Oversee and manage IT operations. Oversee the IT workorder system.
Oversees the Security Officer (IT Manager) for the organization.
Manage external contractors and/or internal employees for the maintenance and upkeep of agency facilities. Monitor and manage the facilities work order system.
Plays a leading role in facility development including capital projects.
Implements policies and procedures that will improve day-to-day operations.
Ensures work environments are adequate and safe.
Leads coordination and integration of efforts among operations, facilities, technology, and engagement divisions to produce smoother workflow and more cost-effective business processes.
Oversee risk analysis and HIPAA, HITECH, Justice Center & personnel records compliance.
Represents the agency in the community on assigned work groups and committees.
Develops and executes an annual Public Relations plan to maintain and improve public awareness of and utilization of services.in accordance with approved budget. Oversees management of website and social media. Assists Executive Director in media response.
Special projects and other duties as assigned by Executive Director
Participates in the hiring and training of departmental managers.
Organizes and oversees the work and schedules of departmental managers.
Conducts performance evaluations that are timely and constructive.
Handles discipline and termination of employees as needed and in accordance with company policy.
Supervisory Responsibilities
This position provides direct supervision to the Operations Coordinator, IT Manager, Facilities Coordinator and oversees external contractors.
Education And Experience
Bachelor's Degree and/or related professional license/certification required.
Five – seven years of management and leadership experience. An equivalent combination of education and experience is considered.
Requires flexibility, initiative, integrity, excellent interpersonal skills, project coordination, ability to work well with all levels of internal management, staff, and outside clients/vendors.
Must have attention to detail, understanding of agency and state expectations.
Salary commensurate with Education and Experience.
