Founded in 2006, our nonprofit organization is a leader in landscape conservation planning. Our work encompasses preserving intact forests, urban tree canopies, wetlands, springs, parks, rivers, and soils, all of which contribute to clean water, air quality, wildlife habitat, recreation, and food production.
Our mission is to help communities recognize the value of natural green infrastructure and use natural solutions to address climate change, urban heat islands, public health improvements, and increased social and economic equity.
We work with federal, regional, state, and local government agencies, land trusts, and conservation groups. This position is based at our headquarters in Charlottesville, VA.
Position Details
We are expanding rapidly, having tripled in size in the past six months from a staff of 6 to 18. This growth necessitates adding more administrative personnel to support our operations.
Our team consists of planners, geographers, landscape architects, urban foresters, natural resource experts, and accountants. Our administrative department includes the executive director, a senior accountant who manages board relations and budgets, and a bookkeeper responsible for bill payments, grant financial reports, and client invoicing.
We are seeking a senior staff member to manage grant reporting, ensure compliance with federal regulations, oversee annual reporting to databases, research benefits programs, and manage general HR functions.
Responsibilities
Company Administration:
Oversee grant reporting, ensuring compliance with all quarterly reports and deliverables.
Advise the Executive Director on grant work priorities and perform administrative and supervisory functions.
Review profit and loss statements, cash flows, and banking operations.
General HR Functions
Approve leave requests in consultation with direct supervisors.
Review and approve timesheets.
Evaluate benefits options and advise on health care plans and other benefits.
Prepare job offers, annual review forms, and monitor employee benefits.
Grants And Accounting
Review and track the company budget.
Collaborate with senior staff to ensure timely completion of grant deliverables.
Work with accountants to ensure accurate financial accounting and reporting for grants.
Assist with preparation of bids and proposals.
Requirements
Personal Skills:
Effective time management and organizational skills, even under strict deadlines.
Ability to perform multiple tasks simultaneously while maintaining accuracy.
Attention to detail and ability to manage stressful situations with tact and diplomacy.
Strong teamwork, leadership, and coaching abilities.
Ability to handle sensitive and confidential information.
A sense of humor and a collaborative attitude.
Work Environment And Physical Demands
Ability to lift up to 10 lbs occasionally.
Ability to remain stationary for more than 50% of the time.
Frequent use of office equipment, including computers and printers.
Occasional movement around the office to access files and equipment.
Our office is located one block from Charlottesville's lively downtown mall.
Degrees And Experience
College degree required, with a preference for majors in accounting or business administration.
Minimum of 5 years of experience managing federal and state grants and working at a senior administrative level.
Required Knowledge
Experience in nonprofit organizations is preferred.
Understanding of U.S. and state labor laws and HR management protocols.
Knowledge of federal grant requirements in the Code of Federal Regulations.
Basic accounting competency and familiarity with profit and loss statements and organizational budgeting.
Computer Software Skills
Proficiency in MS Office Suite (Excel, Word, PowerPoint) and Intuit QuickBooks Online.
Compensation
Salary Range: $80,000 to $95,000 based on experience.
Full-time position (40 hours per week), with part-time options (24 hours per week) available for candidates with the right skills and experience.
Benefits for full-time positions include paid leave for six federal holidays, accrued leave (14 hours per month), health care reimbursement (up to $550/month), and a retirement plan offered after the first year of employment.
