Maximizing Productivity by Minimizing Digital "Inventory" In the realm of digital production, the concept of "Inventory" waste, adapted from the Lean methodology, becomes particularly relevant. Unlike its traditional manufacturing counterpart, digital inventory encompasses unfinished work, excessive documentation, outdated files, and cluttered digital storage spaces. This form of waste can severely hinder productivity and efficiency within organizations. The challenge with digital inventory lies in its less tangible nature, making it harder to recognize and address. However, the principles of Lean offer a clear pathway to mitigating this waste: 1. Regular Audits: Conducting regular audits of digital assets can uncover unnecessary clutter. This process involves evaluating the necessity of existing files, documents, and data, ensuring that only what adds value is retained. 2. Agile Practices: Implementing agile methodologies can drastically reduce work-in-progress (WIP) by promoting smaller, manageable tasks that are completed before new ones are started. 🛑Downtime PLM portal (11th & 16th April 2024) – EMA Below are the snippets from Quarterly System Demo Q1 2024 held by EMA on 26-Mar-2024 (Updates on eAF/ PMS for next quarter) 🗓️eAF: Ø There is downtime for both Interactive PDF eAFs and the PLM Portal web-based eAF between 11th and 16th April 2024 due to data load of CAP & NAP in PMS. Ø Downtime impacts on other related EMA systems like CTIS, EudraGMDP, EMA access management portal, IRIS platform, SIAMED, SPOR, Union Product Database (UPD) etc. Ø EMA recommends applicants to use the interactive pdf eAF for their submissions until 26th April. This is to avoid any validation issues/delays due to changes in the CAPs product data after the new CAPs product load. Ø During the preparation for the updated CAPs [Including split & match-merge processes] load in the PLM Portal web-based eAF, the “Match-merge” process serves to include data from XEVMPD to products already released in PLM Portal. The “split” process serves to make released products ISO-IDMP compliant. These will result in changes to product names; introduction of new medicinal products through splitting; potential alterations to packages. 🗓️PMS: Ø EMA is planning to release updates to Chapter 6 [Technical specifications] and the process to get the credentials to access the PMS API during Q2 2024. Ø In end of May 2024 both the PMS Product UI for CAPs and the API will become accessible (read-only). All CAP data in PMS will be available for all users. Therefore, from May onwards, EMA strongly recommended to use Web Based eAFs. How to Identify a Bottleneck in 3 Steps? 1-Visualize. Keeping track of your work on a central workflow management board makes it very easy to see where work piles up, which is a strong sign of a problem, most likely a bottleneck. 2-Map Queues and Activities. When you separate queues and activities and map them on the visual board, you can see how long work is waiting in a queue prior to a certain activity. If this queue grows significantly faster than work is processed (stays in an activity stage), you have found your bottleneck. 3-Measure Cycle Time per Stage. Measuring cycle time of how long work items spend at every process stage allows you to further analyze the problems. In Businessmap, for instance, you can use the data in a visually appealing cycle time heatmap. Just glancing at the diagram reveals the stages where work spends the most time. If these workflow stages are queues, too, those are probably your bottlenecks. The fundamental element for maintaining a robust and efficient workflow is to minimize interruptions to the process as much as possible. The work has to stream through it freely, powered by the force of a pull system. How to Handle a Bottleneck in 5 Steps? 1-Never leave it idle. Because of the ripple effect on the rest of the flow, the bottleneck process should always be loaded at full capacity. 2-Reduce the strain on the bottleneck. Make sure that work arrives at it in its very best form. 3-Manage WIP limits. If the work-in-progress limits in kanban are quite liberal in the bottleneck and there is a lot of context switching, consider lowering the WIP limit. If it doesn’t have a WIP limit, consider setting one. 4-Process work in batches. If you organized similar work items in batches, some operations would take less time. The rule of thumb is that a smaller batch is always better, but we sometimes have to make compromises in the real world. 5-Add more people and resources. If you can, increase the capacity of the bottleneck to speed up the whole process. Following the Lean management concept of continuous improvement, bottleneck analysis should also be an ongoing process.
