Overview: The Commercial Lines Assistant Marketing Representative provides essential assistance to the Commercial Lines department within PDCM. Primarily supporting Marketing Representatives and Account Managers, this position ensures smooth and efficient operations by processing policy change requests, issuing certificates, entering policy information in EPIC, binding pre-renewals, and other administrative tasks.

Primary Job Responsibilities

The essential functions include, but are not limited to the following:

  • Accurately enter data related to insurance policies and client information into EPIC, including policy details, client contact information, and other relevant data.
  • Regularly follow up with the carriers to check the status of the insurance quotes. Ensure timely responses and gather necessary information from carriers to move the process forward. Contact clients when additional information or documentation is needed to complete the quoting process. Maintain professional and clear communication to gather required data.
  • Assist Commercial Lines Account Managers with processing policy change requests, issuing new and renewal certificates of insurance and automobile ID cards, and follow up with insurance carriers as directed. Responsible for timely endorsement follow-up, as well as billing.
  • Assist team with renewal/new business process from account preparation through binding. Prepare and bind pre-renewal documents in accordance with established procedures. Verify that all necessary documentation is included in each binder.
  • Assist Commercial Lines Account Managers and Producers with administrative tasks. Provide timely and accurate clerical support to ensure the smooth functioning of the department. Print various documents, reports, and forms as required by the Commercial Lines team. Maintain the confidentiality of sensitive client information and records.
  • Depending on workload and renewal dates, assist Producers in creating insurance proposals. This involves compiling all necessary information, terms, and pricing into a clear and persuasive proposal for the client.
  • Prepare and send out mailings related to Commercial Lines activities, including policy renewals and other communications. Send verification of insurance to third parties as requested by clients or regulatory authorities.
  • Maintain organized digital and physical records of policies for easy retrieval.
  • Handle agency-billed policies efficiently and ensure accurate record-keeping.
  • Attach policies into the EPIC insurance management software.
  • Maintain organized records of all interactions, quotes, and proposals. Ensure that all activities are conducted in compliance with industry regulations and company policies. Maintain the confidentiality of sensitive client information and records.
  • Provide excellent, timely customer service to both Producers and clients. Address inquiries, resolve issues, and maintain positive relationships with all stakeholders.

Requirements

Skills and Abilities

  • High School Diploma/GED.
  • Obtainment and maintenance of Iowa Property and Casualty Insurance License.
  • Experience working at an insurance agency, preferably in a position in a Commercial Lines department preferred.
  • Associate Degree in Business Administration or a related field preferred.
  • Excellent communication skills, both written and verbal, to convey information clearly and transparently.
  • Knowledge of Commercial Lines insurance products, coverages, policies, and procedures.
  • Strong organizational skills, with the ability to prioritize tasks and manage daily responsibilities effectively.
  • Ability to work effectively in a team environment and collaborate with team members and other departments.
  • Familiarity and proficiency in using relevant software applications, including Customer Relationship Management (CRM) systems, Microsoft Office Suite, and other tools used for client management and communication.
  • Prior experience in an administrative support function.
